This policy explains how we collect, hold, use and disclose personal information. We adopt the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth) as our benchmark and apply the same standards across our Fiji and Australian operations.
2. What we collect
Depending on how you deal with us, we may collect:
- Contact details — name, email address, phone number, postal address;
- Property and energy information — your property address, roof and site details, photographs of your site, and electricity bills and usage data (for example, utility account and consumption details you share so we can size a system and estimate savings);
- Business information — company name, role and facility details for commercial and PPA enquiries;
- Enquiry and correspondence records — messages you send via our enquiry form, email or phone;
- Website usage data — pages visited, device and browser type, and similar analytics data collected through cookies and similar technologies (see section 6).
We do not knowingly collect sensitive information (such as health or biometric data) and ask that you do not send it to us. Our website is not directed at children.
3. How we collect it
- Directly from you — through our website enquiry form, by phone, email, at events, or during site assessments;
- Automatically — through our website (cookies, analytics and embedded services, see section 6);
- From third-party tools you use to deal with us — for example our scheduling system (Calendly) or our solar design and proposal system (OpenSolar);
- From publicly available sources where relevant to a commercial proposal.
If you provide personal information about someone else (for example a co-owner of a property), please ensure they have seen this policy.
4. Why we collect and use it
- To respond to enquiries and provide quotes, proposals and savings estimates;
- To design, deliver, connect, maintain and support solar systems, including preparing grid-connection, metering and approval applications with the utility or other network operators;
- To arrange financing where you request it, including Power Purchase Agreement (PPA) proposals prepared with our financing partner;
- To administer our business — records, billing, warranties, insurance and dispute resolution;
- To send you information about our services and offers — you can opt out of marketing at any time using the contact details below or the unsubscribe link in any message;
- To comply with our legal obligations.
5. Who we disclose it to
We disclose personal information only as needed for the purposes above, to:
- Our financing partner — where you pursue a $0-upfront PPA, so a proposal and agreement can be prepared;
- The utility and other regulators or network operators — for grid connection, metering and approvals;
- Installers, contractors and suppliers engaged on your project;
- The systems that run our business — website hosting and email providers, scheduling (Calendly), solar design and proposals (OpenSolar), customer relationship management (HubSpot), and analytics (Google Analytics via Google Tag Manager);
- Professional advisers (legal, accounting, insurance) andas required by law.
We do not sell personal information.
6. Cookies, analytics and embedded services
Our website uses, or may use:
- Embedded maps — our contact page embeds Google Maps to show our Fiji office. Loading the map involves requests to Google, which may set cookies and collect usage data underGoogle's Privacy Policy;
- Analytics and tag management — we use or may use Google Tag Manager and Google Analytics to understand how the site is used (page views and clicks on contact and enquiry actions). This information is aggregated and does not identify you personally;
- Functional cookies necessary for the site to work.
You can control cookies through your browser settings. Blocking cookies will not prevent you using our site.
7. Overseas disclosures
Because we operate in both Fiji and Australia, personal information is routinely transferred between our Fijian and Australian operations. Some of our systems and partners also store or process information overseas — including Singapore (our financing partner) and the United States (cloud, analytics, scheduling and CRM providers). Where we disclose personal information overseas, we take reasonable steps to ensure it is handled consistently with the APPs.
8. Storage, security and retention
We hold personal information in secure cloud systems and, where applicable, in hard copy at our offices. We protect it with measures including encryption in transit, access controls and staff confidentiality obligations. We keep personal information only as long as it is needed for the purposes above or as required by law, then take reasonable steps to destroy or de-identify it. No internet transmission is completely secure; please contact us if you have concerns about a particular channel.
9. Data breaches
We assess suspected data breaches promptly and, where the Notifiable Data Breaches scheme applies, will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) of any eligible data breach.
10. Access, correction and complaints
You may request access to, or correction of, the personal information we hold about you by contactinginfo@pacificsunsolar.com. We will respond within a reasonable period (usually 30 days) and will not charge for making a request.
